"Postbox" and "digital mailbox" mean four different things today: a company's document portal, a government mailbox, your email inbox, and a digital mailbox for paper mail. A document portal only receives what one specific sender uploads there, your payslip, for example. A digital mailbox, by contrast, scans every letter sent to your address. Anyone wanting their mail fully digital usually needs more than one of these.
Maybe you got a letter: "From now on, you'll receive your documents in your postbox," along with an activation code and a name you've never heard of. This article sorts out what's actually behind it.

1. Company document portals
Many employers, insurers, and utility providers no longer deliver documents by letter, but through their own portal or a third-party provider. To you, it looks like a mailbox. It's really a mailbox with exactly one sender, or a group of senders working with that same provider.
How to recognize it: you received a letter or email with an activation code, often from your employer or insurer.
If you're looking for the login: the credentials and the correct address are almost always in the sender's own letter. For problems, contact that sender's HR department or customer service, not a postal provider.
2. Government mailboxes
Germany: the tax office provides tax assessments via ELSTER. Starting in 2027, under Section 122a AO, this becomes electronic by default for income tax, trade tax, and corporate tax assessments, if you filed your own tax return electronically; if you want paper, you have to object through ELSTER. VAT and separate assessment notices stay on paper for now. The federal government's own user account also offers a mailbox for administrative services.

Important: a notice in a government mailbox is usually considered delivered after a short period, even if you miss the notification. Deadlines run regardless.
3. Email
This sounds obvious, but it belongs on the list. Plenty of invoices, contracts, and notices arrive by email today. "Setting up an email inbox" is something entirely different from a mailbox for letters, though searches for either tend to land on the wrong pages anyway.
4. A digital mailbox for paper mail

Why there are so many mailboxes
Germany has no central digital mailbox that every sender can deliver to. Each company and government office decides for itself whether and how to deliver digitally. The result: your mail is spread across several channels.
A digital mailbox doesn't replace those channels. It closes the gap that's left: everything still arriving on paper.
An example: five mailboxes and one digital mailbox
Picture a nurse in Bremen. Her employer has delivered payslips through a document portal since the start of the year. Her health insurer has its own app, her bank an online mailbox. The tax office writes via ELSTER. And yet paper still shows up in her home mailbox every week: the property manager, car insurance, the broadcasting fee, a letter from the local court about an inheritance matter.
When her employer introduces the document portal, she googles the name from the letter plus "login." She lands on several pages about "digital mailboxes" and is confused at first. Then it clicks: the portal is only for her payslip. For the paper mail she often leaves unopened for weeks because she works shifts, she needs something else. She sets up a digital mailbox, and now her paper mail is on her phone too.
How to keep track
- Make a list: which sender uses which portal? Note the login address and notification email for each.
- Consolidate notifications: point every portal to one email address you actually check regularly.
- Digitize paper mail: a digital mailbox puts the rest in an app too.
- Take deadlines seriously: electronic deliveries often count as received within just a few days.
