How is mail handled?

1. Mail arrives: letters to your address are received and assigned to your account.
2. The envelope is scanned: you see the sender and date of receipt and get a notification by app or email.
3. You decide: scan the contents, forward the original, archive or shred it.

Is scanned mail legally valid?

A scan doesn't automatically replace the original in a legal sense. For daily work and most business purposes, though, it's enough. Two things to know:

• Deadlines run from receipt: what counts is when the letter reaches the address, not when you open the PDF. That's why prompt scanning and a recorded date of receipt matter.
• Data protection: look for encrypted storage, a data processing agreement (DPA) under the GDPR and a privacy policy that discloses which service providers process your mail.

Whether an address counts as a serviceable address depends on the offer. A classic PO box doesn't. A rented business address with mail handling can.
