Virtual Address for Business Registration in Germany

October 13, 2026·7 min read·Clevver Team

Yes, in many cases you can register a business (Gewerbeanmeldung) in Germany with a virtual address. The address has to be serviceable, you need to be able to prove it with a rental agreement, and your business can't require on-site premises. The local trade office (Gewerbeamt) decides case by case, but with the right documents it's usually a formality.

Many founders don't want their home address in the trade register, on their website's legal notice and on every invoice. Others work remotely, are about to move, or live outside Germany. They all ask the same thing: which address do I give when registering my business? Here's the answer, the requirements, and a checklist for your appointment.

Which address do you use for business registration?

On the registration form, you enter the address of your place of business (Betriebsstätte). That's where your business is officially based. The trade office of that municipality is responsible, not the one where you live.

The place of business doesn't have to be a classic office with a desk. For many digital business models, such as e-commerce, consulting, agencies or software, a business address where you can be reached and receive mail is enough. That's exactly what a virtual address provides.

For the full registration process, see our guide to business registration in Germany.

What a virtual address is, and what it isn't

A virtual address is a real business address you rent from a provider. Your mail goes there, gets received, and is scanned or forwarded to you depending on your plan. You use the address for the trade office, tax office, legal notice, invoices and business mail.

It's not:

  • a PO box: a PO box isn't a serviceable address and isn't enough for business registration.
  • a sham address: an address where you can't actually be reached is no solution and can cause trouble with authorities.

When does the trade office accept a virtual address?

In practice, four things matter:

  1. The address is serviceable. Authorities and courts must be able to serve documents to you there, so mail in your name or your company's name has to be reliably received.
  2. You have proof. Many offices ask for a rental agreement or a confirmation from the landlord. Reputable providers issue one.
  3. Your business doesn't need premises. If you serve customers in a shop, store goods or run a workshop, you need a real place of business.
  4. You're reachable. The office expects mail to reach you promptly. With mail scanning and an app, you can read it shortly after it arrives, wherever you are.

Practice varies from office to office. If you're unsure, call or email beforehand. It saves you a second appointment.

Who benefits from a virtual address for business registration?

| Situation | Why a virtual address helps | |---|---| | You work from home | Your home address stays out of the trade register, legal notice and invoices | | You work remotely or travel a lot | Your mail arrives reliably, wherever you are | | You're moving soon | Your business address stays the same, no re-registration needed | | You want a specific location | e.g. Berlin, Munich or Hamburg as your business seat | | You live abroad | You need a German address for your business |

The first point matters to many founders: whoever registers with their home address will later find it on their own website and in public directories. More in Legal notice without your home address.

When isn't a virtual address enough?

A virtual address doesn't fit every business. Expect to need real premises if:

  • customers come to you, e.g. a shop, studio, practice or restaurant,
  • you store or process goods,
  • your trade requires a permit with requirements for the premises, e.g. in hospitality or security services,
  • you have on-site staff who need a fixed workplace.

Taxes matter too: for tax purposes, what counts is where your company is actually managed. A business address doesn't answer the question of where you make your decisions. For more complex setups, for example if you live abroad, talk to a tax advisor.

Registering a business with a virtual address, step by step

  1. Choose and book an address. Pick the location where you want to run your business. At every German location, Clevver offers a Registered Office that's approved for business registration, for example in Berlin, Munich and Hamburg.
  2. Get your rental agreement. You receive an agreement for the business address. You'll need it as proof.
  3. Find the responsible trade office. What counts is the location of your business address. Many cities now offer online registration.
  4. Fill in the form. Enter the new business address as your place of business and your private address as your residential address.
  5. Submit your documents and pay the fee. Each municipality sets its own fee.
  6. Watch for follow-up mail. After registration, the tax office, chamber of commerce or crafts and the employers' liability insurance association will write to your business address. With a digital inbox, you see those letters without being there.

Checklist for business registration

  • ID card or passport
  • Completed registration form (Gewerbe-Anmeldung, GewA 1)
  • Rental agreement or proof of the business address
  • For partnerships: partnership agreement
  • For a GmbH or UG: extract from the commercial register
  • For trades requiring a permit: the permit or proof
  • For non-EU citizens: a residence permit that allows self-employment

The exact documents your office requires are usually listed on the city's website.

What does a virtual business address cost?

Costs depend on the location and contract term. At Clevver, the Registered Office in Berlin, Hamburg and Munich starts at €59.95 net a month on a 12-month term (as of October 2026). Current prices per location are on the virtual office page, and a detailed comparison is in What does a business address cost? For how booking works, see Renting a virtual business address.

The bottom line

For many founders, a virtual address is the easiest way to register a business without an office. Your home address stays private, you're reachable anywhere, and you can choose your location freely. Make sure the address is serviceable and comes with a rental agreement, and check whether your trade needs on-site premises. Then nothing stands in the way of registration.

FAQ

Does the trade office accept a virtual address? In many cases, yes, if the address is serviceable and you can prove it with a rental agreement. The decision lies with the responsible trade office, so if you're unsure, ask beforehand.

Do I need a rental agreement for business registration? Not every office requires one, but many ask for proof of the business address. That's why reputable virtual office providers issue a rental agreement for it.

Can I register my business somewhere other than where I live? Yes. The trade office at your place of business is responsible, not the one where you live. What matters is that you can actually be reached at the business address and that mail arrives reliably.

Which businesses can't use a virtual address? Those that serve customers on site or are required to have premises, such as shops, restaurants or workshops. Trades requiring a permit can also have their own requirements for premises.

Do freelancers need to register a business? No. Freelancers (Freiberufler) don't register a trade; they only register their activity with the tax office. A virtual business address can still be useful, for example for your legal notice.
